MEM: NCPACE Examination Procedures

A designated individual will proctor all examinations. Normally this will be the ESO or individual designated by the command as the NCPACE POC. Each student and proctor should review the procedures specified here. Proctors will follow these procedures to receive, administer and return MEM examination materials.

Exam proctors are entrusted with maintaining the high standards that Old Dominion University has established for the administration of exams - the same high standards common to administering Navy exams. In no case will a relative or other student be approved as a proctor. The following procedures should aid in the administrative process. Please remember that exam security is of utmost importance at all times. You are responsible for safeguarding all exam materials placed in your care.

Proctor Responsibilities:

  1. NCPACE students will be enrolled when the delivery order/registration information is received. The students order their course materials; textbooks, course packs, CD-ROMS, etc. from the NCPACE Representative when they register. Tests and exams for the courses are provided by the NCPACE Representative to the command NCPACE POC who will proctor these exams. Each exam package will include a student survey, which should be completed by the student and separately returned to the University, using the attached pre-addressed, pre-paid envelope.
  2. Proctors should read all instructions carefully and ensure directions are clear prior to test administration. Students will contact the proctor to arrange a time and location for the student to take each test to be proctored. Provide instructions to the student before you distribute test materials.
  3. After the student has begun, look at him/her regularly to ensure that he/she is following the instructor's procedures. (E.g., if the exam is open book/notes, students may use those items; if there is to be no use of books/notes, students should have only the exam on their desks; etc.).
  4. Please be respectful of the student's need for quiet while taking the exam, and minimize disturbances to the maximum extent possible.
  5. When students at Old Dominion University enroll in coursework, they are bound by an honor code to "….refrain from any form of academic dishonesty or deception, such as cheating or plagiarism." In the event you suspect a student is in violation of this code, you should contact the Director of Military Distance Learning Programs, David Chase (dchase@odu.edu), or the Coordinator, Dr. William Gideon (wgideon@odu.edu). At that point, procedures established for Honor Code violations will be followed.
  6. At the end of the exam period, collect all materials that are to be returned for grading. Test materials are to be kept securely until they can be transferred to the NCPACE Representative, who records their receipt and forwards to the University for grading. Do not make a copy for the student, unless the instructor has given specific permission for this.
